In the employment information section of a user's profile, you are able to update the employment details of a user. First navigate to their profile by either clicking on their name in the people's module or by searching their name in the search bar. Next click on the update employment button.
Next, select the effective date. This date can be a past, present or future date. To move on, click next.
This brings you to the update employment form. The form has several sections with various fillable fields. Most fields are already filled with the existing information, so only the updates need to be inputted.
Employment Change Info
Fields:
- Reason for change: Description of reason behind employment update.
- Notify affected user: Notify the user being affected by this change.
- Notify other users: Notify the relevant users that have configured settings for department or division changes.
Position
Fields:
- Work title: The name of the position held by the employee.
- Department: The name of the department the employee works under.
- Division: The name of the division the employee works under.
- Manager: The name of the employees direct manager.
- Employment Level: Employment level of the employee based on their position. (Line staff, management, supervisor)
- User Status: The users job type (contract, full time, part time, etc.).
- Job Description: Brief summary of job responsibilities.
Compensation
Fields:
- Compensation type: Is the employee salaried or paid hourly?
- Annual Salary / Hourly Pay: The gross amount owed to the employee annually / hourly.
- National Insurance Category: Employee category for NIB deductions.
Employment Status
Fields:
- Is on probation: Probationary status of the employee
- Is on suspension: Suspension status of the employee
After this has been completed, click save and you will be able to view the update in the employee's employment info.
Promoting an employee.
To promote an employee, on the same employee employment information page, click the dropdown menu next to update employment and select promote.
Afterwards, follow the above instructions for updating employment.
